1. Overview
InterviewPilot AI ("we", "us", "our") is a mobile application operated by Raj Bhatti, registered in India, Gujarat, that helps users practice for job interviews using an AI voice assistant and generates performance reports based on those practice sessions.
This policy explains what data we collect, how we use it, who we share it with, and the choices you have. By using InterviewPilot AI, you agree to the practices described here.
2. Information we collect

3. Voice, call & AI processing
InterviewPilot AI's core feature requires recording your voice during practice interview sessions. Specifically:
- When you start a session, your microphone is activated and your responses are recorded and converted to text (speech-to-text).
- The audio and/or transcript of your session is sent to our voice AI infrastructure provider (Vapi) to run the interactive interview experience in real time.
- After your session, the transcript is sent to Google Gemini to generate your performance report, feedback, and scoring.
- We do not retain raw audio recordings after your report is generated. Transcripts are retained as described in Section 6.
- We do not use your data to train our own AI models. Our sub-processors (Vapi and Google Gemini) may process your data under their own data-use terms — please review Vapi's Data Processing Agreement and Google's Gemini API terms directly, as these can change independently of this policy.
4. Third-party processors
We rely on the following third parties to operate InterviewPilot AI. Each processes a limited, specific set of your data solely to provide their service to us:

We do not sell your personal data to any third party.
5. How we use your data
- To run and improve the interview simulation and report-generation features
- To manage your account, subscription plan, and minute balance
- To process payments and send billing confirmations
- To respond to support requests
- To monitor app performance and fix bugs/crashes
- To send you service-related notifications (not marketing, unless you opt in)
6. Data retention
- Account data: deleted immediately from our active systems when you delete your account; may persist in encrypted backups for up to 30 days before being permanently purged.
- Payment records: retained for 8 years, as required by Indian tax and accounting law.
- Note on our voice AI provider: because Vapi stores recordings under our organization's account rather than individual user accounts, we manage retention and deletion within our own systems. When you request deletion, we remove your data from our records and instruct Vapi to delete the corresponding recording where technically feasible; this may take up to 7 additional business days to fully propagate.
8. Cross-border data transfer
Some of our service providers (including Vapi and Google Gemini) may process or store data on servers located outside India. Where this happens, we take reasonable steps to ensure your data is protected consistent with this policy and applicable law.
9. Security
We use industry-standard safeguards to protect your data, including encryption of data in transit (TLS/HTTPS), access controls limiting who at InterviewPilot AI can view raw session data, and secure storage with our infrastructure providers. No system is 100% secure, and we cannot guarantee absolute security, but we work to minimize risk and will notify affected users in the event of a breach as required by law.
10. Your rights
You have the right to:
- Access the personal data we hold about you
- Correct inaccurate or incomplete data
- Delete your account and associated data, including voice recordings and transcripts
- Withdraw consent for future call recording (note: this will limit or disable core app functionality)
To exercise any of these rights, contact us using the details in Section 15. We will respond within 7 days.
11. Children's privacy
InterviewPilot AI is not intended for use by individuals under the age of 18. We do not knowingly collect data from minors. If we become aware that we have collected data from a user under 18, we will delete it promptly.
13. Compliance
India — Digital Personal Data Protection Act, 2023 (DPDP Act)
We act as a Data Fiduciary under the DPDP Act. We process your personal data only for the specified purposes described in this policy, with your consent, and we have appointed a Grievance Officer (Section 15) to address your concerns.
GDPR (for users in the EU/EEA, if applicable)
Where the GDPR applies, our legal basis for processing your data is your consent (for voice recording and AI processing) and contractual necessity (for account and payment management). You additionally have the right to lodge a complaint with your local data protection authority.
14. Changes to this policy
We may update this policy from time to time. If we make material changes, we will notify you via in-app notice and update the "Effective date" at the top of this page. Continued use of the app after changes take effect constitutes acceptance of the revised policy.
